1. Who we are

TechSolvers Ltd provides IT support, cybersecurity, cloud hosting and managed technology services to other businesses (B2B only).

We act as a Data Controller when we determine how and why business contact data is processed, and as a Data Processor when we manage systems, backups or hosted data on behalf of our clients.

2. Personal data we process

2.1 Business contact information

  • Name and job title
  • Work email address and phone number
  • Company name and business address

2.2 Service delivery and security data

When we provide services, we may process technical and security-related information such as:

  • Device identifiers (for example, asset tags or hardware IDs)
  • IP addresses and login metadata
  • System access, audit and security logs related to the services we provide

2.3 Client managed or hosted data

Where we provide infrastructure, hosting, backups or similar services, clients remain the owners of any data stored within those systems. We process that data only under their instructions and in line with our contractual and security obligations.

2.4 Website interaction data

Our website uses minimal essential cookies and diagnostic logging for security and functionality. We do not currently use analytics or advertising cookies.

We do not intentionally seek or require special categories of personal data (such as data relating to health, race or political beliefs) unless this is explicitly required for a particular engagement and appropriately governed. Such information may occasionally be encountered incidentally within communications or other information provided to us. Where this occurs, we handle it in accordance with applicable data protection requirements and our contractual obligations.

3. How we collect personal data

We may collect personal data from:

  • Direct interactions with you for example, when you contact us by phone, email or via our website, or when we deliver services.
  • Managed devices and systems where we provide monitoring, support or security services.
  • Publicly available business sources such as company websites, professional networking sites and business registers.
  • GDPR compliant third-party providers of business contact data.
  • Our third party outbound sales partner acting under our instructions.

4. Our lawful bases for processing

Under UK GDPR, we rely on the following lawful bases:

  • Contract: to provide IT support, managed services and related services that you or your organisation have requested.
  • Legal obligation: to comply with legal and regulatory requirements, including accounting, taxation and record keeping.
  • Legitimate interests: to secure systems, prevent fraud, monitor and improve service quality, operate our business efficiently, and use proportionate technology, automation and AI-assisted tools to support service delivery, analysis, administration and business communications, as well as proportionate B2B marketing and business development.
  • Consent: where you voluntarily sign up to receive marketing communications from us (see section 4C).
Where we use AI-assisted tools, they are used to support our staff. We apply appropriate data minimisation, access controls and other safeguards according to the information being processed.

You have the right to object to processing based on our legitimate interests, including B2B marketing (see section 9).

4B. Marketing & Prospecting (Legitimate Interests)

As part of our business development activity, we may process business contact information to identify and engage companies that may benefit from our services. We may contact relevant individuals  for example, IT decision makers, operations managers and leadership roles  via email, phone, LinkedIn or post.

For this purpose, we may process:

  • First name and last name
  • Job title and department
  • Company name, website and business address
  • Company registration number
  • Business email address and phone numbers
  • Public business profile identifiers (such as LinkedIn profile ID)
  • Industry sector
  • Estimated or published turnover, profit and growth rate
  • Estimated or published employee numbers
  • Year founded

This information is not sensitive data under UK GDPR. It is sourced from public records or GDPR compliant providers and is limited to what is necessary for business to business engagement. We consider the risk to the rights and freedoms of individuals to be extremely low.

Our lawful basis for this activity is Legitimate Interests under Article 6(1)(f) UK GDPR specifically, our interest in promoting and growing our business in a targeted and proportionate way.

If we contact you as part of this activity, you can opt out at any time using the contact details in this policy. We will then retain a minimal suppression record to ensure your preference is respected.

4C. Marketing signups and email subscriptions (Consent)

If you choose to submit your email address via a signup form on our website, we will only use that information to send you relevant updates about our services. These communications are optional, and you can unsubscribe at any time by contacting us or using any unsubscribe link included in our emails.

When you unsubscribe, we retain a minimal record of your email address solely to ensure we do not contact you again for marketing purposes. We will never sell your information or share it with unrelated third parties for their own marketing.

5. International access and data transfers

Some support work may be performed by authorised staff and contractors outside the UK. Where this happens, access is provided only through secure environments controlled by TechSolvers Ltd, with measures such as multi-factor authentication, conditional access and strict role-based permissions.

Some third-party service providers used by TechSolvers may also access or process personal data outside the United Kingdom, including in the United States.

Where UK data protection law treats this as a restricted international transfer, we ensure that an appropriate transfer mechanism and safeguards are in place. These may include UK adequacy regulations, the UK International Data Transfer Agreement (IDTA), or the UK International Data Transfer Addendum to approved Standard Contractual Clauses, as applicable.

6. Security of your data

We take security seriously and implement a range of technical and organisational measures, including:

  • Access control, identity protection and multi-factor authentication
  • Device and endpoint management
  • Encryption at rest and in transit where appropriate
  • Logging, monitoring and threat detection
  • Staff training on data protection and security awareness

7. How long we keep personal data

We keep personal data only for as long as it is reasonably required for the purposes described in this notice, or as required by law.

  • Business contact details: for the duration of our relationship with you or your organisation, and for up to six years afterwards for legal and accounting purposes.
  • Service and security logs: typically 90–180 days, unless a longer period is agreed for a specific service or regulatory requirement.
  • Backup and hosted data: for the period set out in our agreement with the relevant client.
  • Marketing suppression records: kept indefinitely so we can respect your opt out preference.
  • Website session data: retained for the duration of your browsing session or as otherwise necessary for security and functionality.

When data is no longer required, we will securely delete or anonymise it.

8. Cookies and website tracking

Our website currently uses only essential cookies which are necessary for the site to work correctly (for example, for basic functionality and security). These cookies do not require consent under PECR, but we display a cookie notice for transparency.

We do not currently use analytics or advertising cookies. If we introduce analytics in the future, we will request your consent via the cookie banner before any such cookies are set, and you will be able to accept or reject them.

You can manage or delete cookies at any time using your browser settings. Doing so may affect how some parts of the website function.

9. Your data protection rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • To request access to the personal data we hold about you.
  • To request correction of inaccurate or incomplete data.
  • To request deletion of your data where there is no good reason for us to continue processing it.
  • To object to processing based on our legitimate interests, including direct B2B marketing.

To exercise any of these rights, please contact us at [email protected]. We may need to verify your identity before fulfilling your request. There is no fee for exercising your rights unless a request is manifestly unfounded or excessive.

10. Complaints

If you have any concerns about how we handle your personal data, please contact us first and we will do our best to resolve the issue.

You also have the right to lodge a complaint with the UK supervisory authority for data protection:

Information Commissioner’s Office (ICO)
